Stop reconciling standing orders by hand.

Standing orders, bank transfers, PayPal invoices, cash at the door — and someone matching names to a bank statement every month who still can’t say who has paid. Kelvo puts every family on the plan they chose, takes it by card, and shows you paid, due or failed at a glance. No monthly fee — 4.9% on what you collect.

What it looks like today

The membership secretary’s bank statement

Parents set up their own standing order — or don’t. Match fees come in separately. Someone matches names to payments every month, and the answer to “has the Smiths’ subs come in?” is “let me check”.

“Ask the coordinator for details”

Yearly, quarterly or monthly; training and matchplay; a dozen teams — every family on a different permutation, all held in one person’s head and inbox.

An invoice, a PayPal link, and a cheque

Termly payers type an amount from a PDF into PayPal; weekly payers hand over cash at the door. Two systems, neither of which knows about the other.

Every place goes through a phone call

Several venues, a stage for every age, no prices online. A parent has to ring to find out if there is a place, and again to pay for it.

What Kelvo does about it

What changes.

Money

See who has paid

Every family is charged on the plan they chose, so the customer list says paid, due or failed — no bank-statement reconciliation, no chasing a standing order someone forgot to set up.

Selling

Yearly, quarterly or monthly — their choice

Offer the year as a one-off and the quarter or month as a rolling plan; the parent picks at checkout and Kelvo collects on that schedule, with a reminder before every charge.

Selling

Match fees, nets, kit

Extras are their own products — pay-on-the-day, a pack of ten, or a joining fee folded into the membership. One family record, a receipt for everything.

Selling

Termly fees, pro-rated for late joiners

Sell the term, charge a fair share to a family who joins in week four, and roll members into the next term with a reminder before the charge. Nothing to re-invoice.

Operations

Walk-ins and cash

Someone turns up unbooked: add them to the register on the spot and take cash, no card, no fee. They are in the system for next time.

Money

Renewals that look after themselves

A reminder before every charge, a receipt after it, and a failed card retried and chased automatically. Your billing page shows what is coming in the next 30 days and who needs attention — in plain English.

Your brand

No passwords, for anyone

Parents, coaches and staff sign in with a six-digit code by email. A returning parent is recognised at checkout and goes straight to payment.

Your brand

Keep your website

Pull live classes, prices and availability into your own site with the Kelvo API, and deep-link “Book now” straight into checkout — with a plan or a promo code pre-filled. Don’t have one? We’ll build it, kept in sync automatically.

Operations

A coach app that knows who is on the pitch

One-tap register on a phone. Before the session: who is new, consents, age, a medical flag and an emergency call sheet naming who to ring. Cover a session with another coach in one move. Never billing.

In use

Organisations that got their time back — and made their income predictable.

Moved off Omnify

From one-off blocks to recurring revenue

Every parent bought a block for the term, then had to be chased to buy the next one. Revenue reset to zero at every term boundary.

Live on Kelvo in days. Moved before the new term and put existing customers straight onto recurring plans. Renewals charge automatically, parents get a reminder first, and failed cards are retried and followed up without anyone lifting a finger.

Term-by-term chasing → renewals that run themselves.

Off four tools, onto one

Bookings on GoTeamUp, trials on Microsoft Bookings, emails on Mailerlite and a website that could not take a payment. Four logins, four bills, nothing talking to each other.

Live on Kelvo in days. Schedule, members and plans brought across; one branded booking site; parents book and pay in under two minutes; coaches mark registers on their phone.

Four systems → one. £0 a month.

Camps set up in minutes, sold by the day or the pack

Pop-up holiday camps with no term structure — and two ways to sell them: a single day for the drop-in parent, and a discounted bundle for families who book the week.

Live on Kelvo in minutes. One camp, dated slots, a “pick any 2 of 3 days” tier alongside the single-day price, discount built into the pack. Parents choose their days and pay once; the register is ready each morning.

No term, no admin — camps that sell singly and in bulk.

Questions

Common questions.

Not answered here? Ask us — usually within a working day.

Can we see who has actually paid?
Yes — that is the point. Every family is charged by card on the plan they chose, so the customer list shows who is paid up, who is due and who has failed, without reconciling a bank statement. Parent-set standing orders and bank transfers cannot tell you that; Kelvo can.
Our members pay yearly, quarterly or monthly — can it do that?
Yes. Set up each option as its own plan (a one-off for the year, a rolling plan for the quarter or the month) and the parent picks at checkout. Kelvo collects each one on its own schedule and reminds the parent before every charge.
What about match fees, nets, kit and other extras?
Extras are their own products — a one-off price a parent pays on the day, or a pack of ten match fees paid up front, or a joining fee folded into the membership. Everything a family pays sits on one record with a receipt for each.
Some families still pay cash. Is that a problem?
No. Add them to the register as a walk-in and mark it paid in cash — no card, no fee. They are on the system for next time, and your takings still add up in one place.
Is it really 4.9% and nothing else?
Kelvo charges 4.9% on each transaction and nothing else — no monthly fee, no setup fee, no per-seat charges, no contract. Card processing is handled by Stripe and billed by them at their standard UK rate (currently 1.5% + 20p for UK cards), the same as you would pay running Stripe on your own. When your classes are quiet, you pay nothing.
How do we move our schedule and members across?
We do it with you. Send us an export from whatever you use today — a spreadsheet is fine — and we set up your classes, plans and members so parents can book from day one. Most academies are live within days, not weeks.
When do we get paid?
Money goes straight into your own Stripe account — Kelvo never holds it. Stripe pays out on its standard schedule (typically a few days after each charge), and you can see the balance and every payout inside Kelvo.
We already have a website — do we have to replace it?
No. Keep it. Your booking site lives on your own subdomain (yourname.kelvo.co) and you link to it from your site, or pull your live classes, prices and “Book now” links straight into your own pages with the Kelvo API. Parents land on your branded pages either way.

Bring your fee sheet. We’ll set it up with you.

Your tiers, your instalment options, your match fees. Thirty minutes and it is bookable — and we bring your members across for free.
